When planning an event, you’ll undoubtedly have heard of “Event Planner/Companies/Organisation” and the leverage one may have when they do hire the services of one. There’s no disputing it’s a common practice in the corporate world to leverage on the abilities of a company who have seemed to already know it all; the processes, the pitfalls, the fastest way to get things done and of course, to execute a successful and memorable event.

The question is, would you NEED to hire an Events Company to execute your event?

Firstly, lets kick off with the first (and most obvious question):

What Exactly is an Event?

In a nutshell, an event is essentially a social gathering of sorts, to achieve a common goal. This could take many different forms, from a simple breakfast presentation to an entire conference, charity/gala fundraiser, networking events, product launches or weddings. You can even use choose to run online events such as live-streamed webinars, or simply sponsor an event for branding reasons.

No one wants a “lousy event”, or an event that reeks of incompetent people running it nor complaints pouring in the aftermath of an event. There may be thousands of moving parts you have to get right in order to run a successful event, but just one mistake, can potentially derail an entire event.

The event planning process doesn’t just take place during the event, and there is often pre and post event planning. The National Day Parade (event) Singaporeans are familiar with typically begin their planning process just the day after the parade is done, with the introduction of the new committee, theme for the next year and spectrum of works lined up as part of the military’s SOP (Standard Operating Procedure).

The event you decide to create ultimately boils down to your business/social objective.

Benefits of Hiring an Event Planner/Company

“Why Not DIY? I can just have Suzanne to handle it and save all that money” is typical of what clients would say mostly before they engage an events company.

The experience and knowledge of executing an event is crucial to achieve a successful event. This is where having an experienced events company/planner will about the following benefits:

  1. Helping you save. No, really.

Its widely been misconstrued that event companies are expensive. On the contrary, when you do choose to DIY i.e. plan a corporate event all by yourself, you simply do not save that much as you rarely get the best prices for your quoted services as a “direct client”. A well-established event company/planner has through the years, established mutually beneficial relationships with all the suppliers and that typically results in huge discounts that a “direct client” otherwise may not get. Any event company worth its salt will also know exactly on the items you should or should not save on. Scrimping on the wrong items often lead to the grand failures of events. (Think: that missing one screw that screws up the clock). Event companies hence pass on these discounted prices to you and can also guarantee the proven quality of their affiliated suppliers since they have worked together in numerous successful events.

  1. Saving you time

Close to half (46%) of corporate companies or marketers claimed that creating/curating content and building their event programme/agendas are the most timing consuming aspects of event planning[1]

For those who have been there, done that, it’s common knowledge that planning a whole event is a very time-consuming task. For one, every business corporation usually has its own strategic objectives for running an event and most executives usually prefer spending time delivering these strategic objectives then to be in the trenches of operational event planning. A event company parachutes in and does what is does best: Making sure all event related deadlines are fulfilled, suppliers have been engaged and briefed, event has been organised systematically and possibly, within the allocated budget.

Often, there are many moving parts that needs to be aligned systematically and an event company usually has a dedicated team to manage every component of an event whilst assisting you in areas you may have missed out. This ultimately saves you time and gives you the opportunity to sit back with your guests and enjoy the event.
